Short answer: a capsule (Nespresso-style) machine is the cheaper choice for offices of up to about 10 people; from roughly 15 staff upwards a bean-to-cup machine wins on cost per cup, drink range and waste — and in the UAE it can be placed for free, so the office pays only for beans and milk. This guide compares both on price, quality, maintenance and sustainability, with numbers for 10, 30 and 60 people.
What is the difference between a capsule and a bean-to-cup machine?
A capsule machine (Nespresso, Nespresso Professional, Dolce Gusto and compatible brands) brews one pre-portioned aluminium or plastic pod per cup. It is small, cheap to buy and needs almost no cleaning. A bean-to-cup machine grinds whole beans for every cup, froths fresh milk and makes 8–20 drinks at the touch of a button. It is bigger, costs more to buy, and needs daily rinsing and a weekly deep clean — which in the UAE is usually done by the coffee supplier.
Cost per cup: capsule vs beans
The decisive number is ingredient cost per cup. In the UAE, an office-grade capsule sells for roughly AED 2.5–4 per cup (indicative, 2026), before milk. Fresh whole beans on a bean-to-cup machine work out at about AED 1.5–2.5 per cup for coffee, and around AED 3–4 all-in including fresh milk, cups and service. Compare that with AED 18–25 for a café coffee next door.
| Item | Capsule (Nespresso-style) | Bean-to-cup |
|---|---|---|
| Machine price (buy) | AED 700–4,000 | AED 4,000–25,000+ |
| Machine on free placement | Rarely offered | AED 0 (CoffeeGo model: machine, install, service free) |
| Coffee cost per cup | AED 2.5–4 (capsule) | AED 1.5–2.5 (beans) |
| Milk drinks | Separate frother or milk capsule | Fresh milk, automatic |
| Drink menu | Espresso, lungo, americano | 8–20 drinks incl. cappuccino, latte, flat white, hot chocolate |
| Cleaning | Minimal | Daily rinse + weekly service (done by supplier on free placement) |
| Waste | One pod per cup | Coffee grounds only |
| Best for | Up to ~10 people, meeting rooms | 15+ people, open offices, reception areas |

Monthly budget for 10, 30 and 60 staff
Assume two cups per person per day and 22 working days. That is 440 cups a month for 10 people, 1,320 for 30 and 2,640 for 60.
| Office size | Cups / month | Capsules (AED 3 avg) | Bean-to-cup, free placement (AED 1,000 minimum) |
|---|---|---|---|
| 10 people | 440 | ≈ AED 1,300 | AED 1,000 (minimum ingredient budget) |
| 30 people | 1,320 | ≈ AED 4,000 | ≈ AED 2,500–3,500 incl. milk |
| 60 people | 2,640 | ≈ AED 7,900 | ≈ AED 5,000–6,500 incl. milk |
Below about 10–12 people a capsule machine is simpler and the minimum ingredient budget of a placed bean-to-cup machine may not be fully used. Above that, beans are 30–45% cheaper per cup, and the gap grows with headcount. For a full cost breakdown see how much office coffee costs in Dubai.
Taste and drink range
Capsules are consistent but limited: espresso-based drinks with milk from a separate frother. A bean-to-cup machine grinds beans seconds before brewing and steams fresh milk, so cappuccino and flat white taste like café drinks. Most office drinks in the UAE are milk-based, which is where bean-to-cup pulls ahead.
Maintenance and who does it
A capsule machine needs descaling every 1–3 months and nothing else. A bean-to-cup machine needs a daily rinse cycle (automatic on most models) and a weekly clean of the milk system and brew unit. On a free-placement contract the supplier does this: CoffeeGo technicians visit weekly, refill beans and milk powder or fresh milk, and replace the machine if it fails. Sustainability
A 30-person office on capsules produces about 1,300 pods a month; aluminium pods are recyclable only through dedicated take-back schemes, which few UAE offices use. Bean-to-cup produces coffee grounds only, and beans arrive in 1 kg bags — roughly 120 cups per bag.
When to choose which
- Choose capsules if you have fewer than 10 people, no space for a 40–60 cm machine, or you mostly need coffee for a meeting room.
- Choose bean-to-cup if you have 15+ staff, want milk drinks, want zero upfront cost and no maintenance — the free-placement model available in Dubai, Abu Dhabi and Sharjah. Details: free office coffee machine in Dubai.
- Coworking, clinics and showrooms with visitors usually do best with a bean-to-cup machine with a card reader, where the venue earns rent instead of paying. See coffee machines for coworking spaces and office coffee machines in Business Bay.
One update from our side: from October 2026 CoffeeGo will place a capsule machine free of charge on a monthly plan, the same way we place bean-to-cup machines, with capsules from our own Dubai roastery. Indicative plans start at AED 69 a month for 30 capsules of our own roast. That removes the usual trade-off for small teams — you no longer have to buy the machine to get the capsule format. These are planned tariffs and are not bookable yet.
Frequently asked questions
Is a Nespresso machine cheaper than a bean-to-cup machine for an office?
Only for small teams. A capsule machine costs less to buy, but capsules cost about AED 2.5–4 per cup against AED 1.5–2.5 for beans. From roughly 15 staff the bean-to-cup machine is cheaper every month, and in the UAE it can be placed for free.
How much does a bean-to-cup office coffee machine cost per month in Dubai?
On the free-placement model the machine, installation and weekly service cost nothing; the office buys ingredients from about AED 1,000 per month (roughly 110–150 cups), with smaller contracts from AED 600 for tiny teams.
Can I get a Nespresso Professional machine for free in the UAE?
Capsule machines are usually sold or rented rather than placed free, because the capsule margin is lower. Free placement in the UAE is common for bean-to-cup machines, where the supplier earns from beans and milk.
Which is better for cappuccino and latte?
Bean-to-cup. It grinds fresh beans and steams fresh milk automatically; capsule systems need a separate frother or milk capsule and the drink range is narrower.
