Most advice about office coffee is written for a company of fifty. If you are shopping for a coffee machine for a small office in Dubai — a five-person brokerage in Business Bay, a clinic reception, a startup in a shared floor — the usual answer of "buy a bean-to-cup machine" is the wrong one. Your problem is not brewing capacity. It is that nobody on a team of eight wants to be the person who descales the machine.
Start with cups per day, not with the machine
Before comparing brands, work out your volume. Ten people drinking roughly two cups each over 22 working days is about 440 cups a month. Five people is closer to 220. That single number decides everything else: below about 300 cups a month, capsules are fine; above it, capsule cost per cup starts to hurt and refilling becomes a weekly chore for whoever sits nearest the pantry.

The two middle rows are where small offices lose money. A machine bought for a ten-person team is an asset you have to look after for years, and the per-cup saving rarely repays the upfront outlay before the office moves, grows or changes floor. Where the line sits between capsule and bean-to-cup
Capsules win on simplicity and lose on price. Beans win on price and lose on nothing much, provided somebody else services the machine. For a small office in Dubai the practical crossover sits around ten to fifteen people — roughly the point where the monthly capsule bill passes the ingredient budget for a serviced bean-to-cup machine, and where restocking stops being a five-minute job.

How free placement works for a small team
Free placement is usually described as an option for large offices, but the entry point is lower than most people assume. Five questions to ask any supplier
- Is there a minimum team size or minimum spend, and what is it in dirhams?
- How often is the machine serviced and cleaned, and is that included?
- Who pays if it breaks or needs replacing?
- Is there a lock-in period, and what happens if you move office?
- Does it need plumbing, and how much floor space does it take?
